SUMMARY

 

A meeting of the Indian Hills/Glen Eden Homeowner’s Association Board of Directors was held April 10, 2008 at the Community Center.  In accordance with Article VIII, B of the by-laws, at least five directors were present when the meeting was called to order.  Topics for discussion were distributed prior to the meeting, shown below.

DISCUSSIONS

The minutes of the February 27, 2008 Board Meeting were approved as submitted.

I   Pool Committee

Two bids were received to construct a shading structure over the old baby pool, both are too high.  The Pool Committee feels it is better to put the money toward re-decking the pool.  The Committee is requesting $1,000 for decking and at least some type of shade structure, to be built by homeowners.
 
Membership letters have been sent to all last year’s outside pool members, 16 have been received, three recipients have promised the check is in the mail.  The notice to those on the waiting list will go out this week.  A few old members have elected not to re-join this year.  The sign-up rate for outsiders is consistent with last year; the roster should be full by mid-May.  Half are getting guest passes.  It’s not clear if last year’s bounced checks have  been covered.  Those members with bounced checks will have their application for this year declined until the outstanding balance is up to date, including all bank fees.  The community insurance certification needed for the pool contractor.  Newsletter will be out by April 15 stating this year’s policies, open and close times, swim team times, etc.

II Community Clean Up

May 17 is targeted for combined community and pool clean-up since there’s not much to do this year.  The picnic tables were sanded and washed last year.  Some minor repairs to benches and tables are needed, maybe some power washing.  The mulch needs to be raked back under the swings, the benches need sanding.  Some annuals will be bought to plant around the area.  The pool chairs need to be cleaned, and some annuals planted on the pool deck.  Other clean up ideas were solicited with the Directory update forms.  Bryan will check for any benches that need repair, and see if there’s any reasonable replacements at Home Depot.

III  Board Election

Elections will be Thursday, May 1, 2008 at 7:30 PM.  Many ballots have already been received.  There is a conflict with the Swim Team registration that same night, 6 – 8 PM.  Swim team applicants are fairly sparse after 7:30, so this should not be a problem.  Melissa will request everyone to come early that night.

III Tennis Court

Fence painting by a professional painter has begun; should be completed tomorrow.  Rain days kept homeowners from doing the work and eroding schedule drove the need to contract the effort. Tennis court resurfacing was projected by the contractor for the end of April.  Sophia will contact the contractor to confirm the date.

New locks for the tennis court gate will be needed – the old one is broken and rusted.  Melissa will get a new lock and extra keys.

IV  Clubhouse

Jim G. has the absorptive material for the sound reduction ceiling boxes, but still needs wood and covering material.  Assembly will get started this weekend.  Hanging hardware is still needed.  Sophia will provide a nail gun to expedite assembly with finishing nails.  The goal is to have the boxes in place for the Severn River Association meeting at the end of May.

There is an estimate of $1,200 dollars to plant bushes around the clubhouse playground.  The Board will wait until all the painting and pool maintenance is complete before deciding on this.  The $2,200 landscaping to date has been very effective in controlling water run-off.

V  Mosquito Control

Jim Gooding has information from AA County regarding control by many methods, including ULV spraying.  Spraying would be most effective when done in conjunction with community clean-up to remove standing water.  The County application is due before May 15th to get Indian Hills in the “evaluation pool” for the County to schedule us for monitoring the infestation level.  A determination can then be made as to what the optimum control method would be.  The Board voted to apply for a County evaluation. 

The homeowners will be polled at the May 1 Board Election meeting for feedback on this whole thing.  When the County reports back on recommended actions, the community will be informed of all the impacts and decision made at that time.

Bill will contact the Sturbridge Community Association to see if they are interested in participating in a joint effort and thereby represent a larger group to the County than just Indian Hills..

VI   Other

A reminder will be sent out for homeowners to update their entries in the Directory; the format is ready to go to print as soon as the content is all entered.  Publication date will be no earlier than July.  The Board will consider releasing it on a CD if requested.

The next Board meeting will be in June to finalize the year’s activities and welcome the new Board.
